Job Description

Ultimate Staffing is seeking an HRIS Project Leader - Vendor Selection to join a client in Santa Cruz, CA. This role will start out as a contract position with the potential to eventually turn into a full-time role based on performance. This position will be 100% onsite at the client's Santa Cruz office.

This person will support the People Operations team during the final phase of an enterprise HRIS vendor selection initiative. With a defined project plan and finalist vendors already identified, this role will play a pivotal part in executing the evaluation process-overseeing logistics, partnering closely with vendors, and providing hands-on support throughout proposal review and contract negotiations.

Key Responsibilities

Vendor Demo Coordination

  • Plan, schedule, and execute complex, cross-functional onsite vendor demonstrations with enterprise HRIS providers (including Workday and Oracle).
  • Ensure internal stakeholders and Subject Matter Experts are fully prepared, aligned, and present for each session.

Contract & Commercial Support

  • Partner with People and executive leadership to review vendor proposals, assess pricing structures, and support contract negotiations.
  • Help synthesize commercial terms and highlight key considerations for decision-makers.

SKU & Pricing Analysis

  • Analyze and compare vendor SKUs, licensing tiers, modules, and pricing models to ensure alignment with defined requirements and budget parameters.
  • Translate complex technical and commercial details into clear, actionable insights.

Project Execution & Tracking

  • Maintain momentum throughout the selection phase by tracking vendor responses, internal evaluations, dependencies, and action items against the established project plan.
  • Serve as a central point of coordination to keep stakeholders informed and on schedule.

Minimum Qualifications

HRIS Experience

  • Demonstrated experience coordinating or supporting enterprise HRIS/HCM vendor selection and/or implementation initiatives.

Enterprise Vendor Exposure

  • Hands-on experience working with large-scale HR technology vendors in a complex, cross-functional environment.

Contract & Licensing Acumen

  • Strong understanding of SaaS pricing models, software licensing structures, and the ability to confidently navigate vendor SKUs and technical quotations.

Operational & Logistical Excellence

  • Exceptional organizational skills with a proven ability to manage complex schedules and logistics for senior, cross-functional stakeholder groups.

Work Location

  • Ability to work onsite in client's Santa Cruz, CA office.

Communication Skills

  • Clear, concise, and professional communication style with the ability to serve as a primary liaison between internal leaders and external vendors.
